Commercial property management is a fast-paced industry and making the most out of every minute is crucial to success. It is also incredibly easy to get bogged down with day-to-day tasks and lose sight of the bigger picture.
If this sounds like you, you might benefit from a few fresh ideas to get you and your team back on track and motivated. Here are six ways to become a more productive property manager:
1. Set Goals
The first step to becoming more productive is giving yourself something to work toward. If you don’t have any specific goals you want to achieve, you won’t have anything to keep you focused. So think about something specific you want to achieve this year or quarter and don’t let yourself fall short of meeting that goal.
2. Have a Plan Each Day
Just like you need to have a long term goal, you need to have short term goals in place, too. These will serve as benchmarks so you can check your progress and keep from falling too far behind schedule.
Set a goal for each day. Make a list of to do’s or things that need to be accomplished by the end of the work day. If you don’t meet your daily goal, that’s okay. Just spend a couple minutes at the end of the day reviewing what needs to be done and how you will do it. You’d be surprised how much more productive you are when you have a plan of action in place.
3. Establish Priorities
When you are looking at a whole long list of things to do, it can be paralyzing. Establish priorities for you and your team to set yourself up for long-term success. For example, is it more important to focus on preventative maintenance, or tenant satisfaction? Once you have established a list of priorities, it will be much easier to come up with a daily game plan.
4. Look For Areas of Improvement
Repetitive and redundant tasks are the primary cause for productivity losses. This is especially true for commercial real estate where you are dependent on efficient communication.
Take some time to review your processes and evaluate how you and your team are operating. Are there any areas that can be improved? If so, how? Looking into new technologies and property management software is a great place to start eliminating inefficiencies so you can become a more productive property manager.
5. Focus on Your Tenants
As a property manager, your number one priority should be tenant satisfaction. It is a common saying in the commercial real estate industry that you are only as successful as your least happy tenant. Look for ways to improve efficiency of service delivery and communication between your team and your tenants so your job will become much easier.
Keeping things simple is the best way to improve productivity. If you find yourself or your team members are getting bogged down with simple, repetitive tasks, look for a way to automate it. You’d be surprised how much time and energy you can save by eliminating certain tasks from your workload.
Organization is Key
Commercial real estate is a make it or break it industry and becoming a more productive property manager is the key to success. So give yourself something to work towards and always be looking for ways to improve the quality and efficiency of your services. You will begin to see how much easier it is to accomplish things with a little organization.
